Press Release: IPA Finds Best Dates for a Chicago Convention Window

A scheduling review points to September 30 through October 2, 2026 as the strongest three-day option for a 100-person Chicago event seeking fewer major conflicts and a better chance at favorable hotel rates.

The International Platform Association (IPA) has identified September 30 through October 2, 2026 as the best three-day window for hosting a 100-person event in Chicago between September 30 and October 13. The recommended dates were selected because they avoid the largest convention and marathon-related demand spikes in the city during that period, giving planners the best opportunity to secure more favorable hotel rates and a smoother attendee experience. The review found that while there is still some cultural programming in the city during the opening days of October, the biggest hotel-rate pressure points do not arrive until the following week. Chicago's World Music Festival runs from September 25 through October 4, which creates light-to-moderate citywide activity, but this is generally a smaller compression factor than major conventions or marathon weekend. A second-tier option is October 1 through October 3, 2026. Those dates are still workable, but they overlap more directly with early October visitor events, including Lincoln Square Apple Fest on October 2–4 and the final Maxwell Street Market date on October 4. Those events are not on the same scale as major conventions, but they do add more leisure traffic than the September 30–October 2 window. [Source] [Source]

Recommended Date Ranking

  • Best choice: September 30 – October 2, 2026
  • Second-best choice: October 1 – October 3, 2026
  • Avoid: October 5 – 11, 2026 due to major conventions and Chicago Marathon demand

Why the first week becomes more difficult

Starting October 5, Chicago's group and convention calendar becomes significantly more crowded. Choose Chicago lists both the ACEP Annual Scientific Assembly and the APTA Annual Meeting & International Public Transportation EXPO for October 5–7, 2026. Those two large meetings make that stretch much less attractive for planners seeking softer hotel rates. [Source]

World Music Festival Chicago
World Music Festival Chicago runs through October 4, creating some citywide activity before the heavier convention compression begins. [Source]

The next major compression point begins almost immediately after those conventions. The official Bank of America Chicago Marathon schedule shows the Abbott Health & Fitness Expo at McCormick Place on October 8, 9, and 10, followed by the Chicago Marathon itself on Sunday, October 11, 2026. That means hotel demand is likely to intensify beginning October 8 and continue through marathon weekend. [Source] [Source]

Chicago Marathon
Marathon weekend is one of the strongest hotel-demand drivers in Chicago each October, making October 8–11 the least desirable window for value-conscious group planners. [Source]

Planner takeaway

For organizations seeking a three-day event window for approximately 100 attendees, the most practical strategy is to get in before the large October convention block and well before marathon weekend. Based on official city, festival, and convention calendars, September 30 through October 2 offers the best balance of availability, lighter conflict, and the strongest possibility of better hotel pricing within the requested range. IPA noted that planners who cannot use those dates should consider October 1–3 as the next-best fallback, while avoiding October 5–11 if room rate sensitivity is a major concern. [Source] [Source]
