With the insane amount of e-mails bombarding your inbox everyday at work, e-mails can seem like a dime a dozen, often only getting a second's glance before being deleted. Wouldn't it be nice to receive a handwritten message that you can actually hold in your hands? Even in the business world, a piece of personal, tangible mail can brighten someone's day and provide a fresh outlook. Slowing down and taking the time necessary to craft a well-written note can restore your own sanity as well. We believe that sending handwritten business notes will deepen both your business and personal relationships with colleagues and will make your business or organization stand apart from the rest. Customers, donors, and vendors will surely remember your kindness and attention to detail. Since the art of letter writing has become such an underused and forgotten form of communication, we've provided some tips to help get you started. Begin sending handwritten mail and you might just start receiving some of your own!

Reasons to send a hand-written note at work:

 • To thank:

o   a donor for a contribution of any size

o   a mentor for his or her time and advice

o   a potential employer for an interview

o   loyal customers or clients for their business

o   volunteers and employees for dedicated service

o   a customer or business colleague for an important referral

• To congratulate a colleague:

o   on a business opening or expansion

o   on securing a large client

o   on a milestone anniversary for his/her business

          o   on receiving an award

o   for the dedicated, valuable work she or he provides

Tips for writing a hand-written business note:

• Keep interesting blank stationery, creative blank note cards, a favorite pen, and postage stamps on hand to make composing hand-written notes convenient.

• Schedule a time each week to write notes. Keep a running list of those you want to thank and     congratulate. Commit to writing several a week and this will become a welcome and enjoyable habit. •Keep up to date with what's happening with your colleagues through trade journals and the local chamber of commerce newsletter for opportunities to send your written commendation.

• Organize your thoughts by first typing your message into a word processing document. Remember to check for proper spelling, grammar, and punctuation.

• Once you're satisfied, copy your message into a note card in your own handwriting.

• Thank the receiver for his or her donation, advice, service, etc., and indicate how his or her help will benefit your organization.

• Congratulate the receiver for his or her accomplishment and recognize the effort and work required.

• Be sure to express your gratitude and to give sincere compliments whenever you can.

• When choosing your language, strike an appealing balance between professionalism and a natural tone that reflects your personality. Always remain respectful and sincere.
