Hi everybody. This is Valerie, and for this video, we are going to talk all about how to navigate your contacts. The first video that I did was all about getting started and logging in. If you haven’t watched that video, please go back and watch that first. This time around, we’re on our dashboard, and we’re going to go straight here to contacts. So we’re going to talk about contacts and Smartlists. So what you can see here, is that I have a whole bunch of contacts, and I also have some navigation up here that we’ll talk about. And I have some Smartlists. That means the contact in the system are divided up by job seekers, job seekers from Facebook, from my CNA jobs, from Indeed, and you can do that for as many different tags as you want. So the first thing we’re landing on when we come here is Smartlist, and that just means here’s everybody, we’re always default to all.

So first you’re going to see all your contacts and then you can click on any one of these to go to other contacts like Facebook, people that came in for recruiting from Facebook, people who came in from my CNA jobs. If you’re not using this for recruiting, that’s okay. You might have Google ad leads and you might have a contact desk form from your website or get started from your website or organic leads, or however, you want to divide up your list, you can do that. So the next thing we’re going to talk about, we’ll come back to Smartlists, is contact requests. Most of you are never going to have to worry about this. If I click on it, it just tells me what things I’ve done in the past and what things are pending. I bulk imported a bunch of people or exported people, it just gives me a status on those bulk actions.

These are things that I did like sending out a bulk email or sending out a bulk text. It tells me if it’s been completed, it allows me to see the stats. So you can see that right there. Restore. Restore means, oops, I just deleted a bunch of contacts and I didn’t mean to. So you can go to restore and you can select all or select whoever it is you didn’t mean to delete and you can restore them. Manage Smartlists, so remember our Smartlists are all the way across here. And if you wanted to manage these, maybe change the name, maybe share them with someone. So let’s talk about job seekers. So if I wanted to copy this Smartlist and make a new one, maybe job seekers for Susie, Susie’s the only one that’s going to handle these or I can share the Smartlist.

So if I want to share it, there are no users to share with because there’s nobody else in here with me. But if you had three or four staff members in here, you can share this list with them by clicking on their name, and then the next time they log in, they’ll be able to see this too. Remember if you create a Smartlist, you’re the only one that can see it until you come here and you share that Smartlist with other people. So if you want all your staff to be able to see your job seekers or some portion of your staff, you need to come into manage Smartlists and then click on this little share icon and share it with them. Editing the Smartlist means editing the name. So if you wanted to correct that little s there or change it to something else you could. And deleting, it just means you’re not deleting the people, you’re just deleting the label job seekers, all those people will still be in your system.

All right? So that is basically everything about Smartlists and the way you put someone in a Smartlist is much different. So let’s go back to our job seekers, and we’re going to work with testing two right here. So what we know about testing two and this is a demo account, I use it a lot. So she’s got a lot of tags. Tags are the way that we take care of and organize people in Smartlists. So if testing two came from a Facebook lead and I tag her with Facebook, now she’s going to show up in the Facebook Smartlist because I put that tag on her. Now, most of the time when we do this, this is all automated. So you don’t have to do any of this, but you can always go in and manually edit someone. So I added a tag to testing too, and the tag was Facebook. So let’s go to my Facebook Smartlist and see if she shows up there. She should show up there.

Except that I entered the wrong tag so let’s go back. Let’s see what we have in here for Facebook. Facebook job ad, beep, beep, beep, beep, save. So if you don’t enter the right tag, this is not going to work. I’m the one that should be doing these tutorials. Right? All right. So now let’s see if testing two is in our Smartlist. She has all the tags. We’re going to go to Facebook. There she is. Woo-hoo. So if you add the correct tag to that human, then they will now be in the correct Smartlist. So not only is testing two a job seeker, but she’s a Facebook job seeker. So now if I want to see all my Facebook people, I can just click on Facebook, and I see all these people came from Facebook. If I go to my CNA jobs, I can see that all these people came from my CNA jobs because they have the right tag.

If I go to Indeed, I can see that all these people have been tagged with Indeed, so I know they all came from there. And that is important for more reasons than one. First of all, in order to know how many people you have coming in, it’s a good metric to know. If I get 500 people from Facebook and only two from Indeed, maybe I need to quit spending money on Indeed or whatever the case may be. So it’s great to when people are coming in through the system to have them tagged so you can divide them up and you can see the numbers. It’s going to be important to you and it’s going to be important to whoever manages the finances of your company, to know which of these advertising platforms are really making a difference for you and which ones just aren’t working.

And there’re other things we’ll talk about when it comes to opportunities a little bit later. So how to create a Smartlist is if you have someone tagged with a certain tag and we’re going to work with this one, we’re going to say and this is a tag that I just made up. So we’re going to create a new Smartlist. So I have someone tagged as FB. So what I’m going to do is I’m going to create a new Smartlist. So the way I do that, and we usually do this for you, so you don’t have to worry about this, but if you want to add another Smartlist, I am going to click on this little. Let me exit out more filters and I’m going to search for a tag, and the tag that I want is FB. All right. So I can see there’s testing two with that weird old FB tag that didn’t make any sense.

Now, I’m going to hit the plus sign, and I am going to put it FB one because we already have an FB up there and save. Now, there’s my FB one Smartlist, and it only has one person in it because she’s the only one that has the tag FB. So now if I want to share this with other people, I’m going to go to manage Smartlists, I’m going to go to FB one and I’m going to hit share. And then I’m going to share it with all of my other staff members that need to see that. And when I do that, then it will be there when they log in the next time. Okay? So that is how you add a Smartlist. You can add a Smartlist without having anyone tagged yet, but it’s easier if you already have people in the system that are tagged with something like Facebook job ad, FB, or whatever. You can ignore all these. And then create your Smartlist. So that is all about contacts and about Smartlists.
