Business is already complex but can become highly challenging without using these communication strategies outlined below.  

My Story

Although we each have our unique talent, it is essential to admit we do not know everything. Adding to the problem, on occasion, we misinterpret directions we receive, read, or hear. The proverbial ‘deal with it’ comes to mind because there is no sense in wasting additional time agonizing over a situation. 

Should we be goal-driven, it is essential to ensure we finish projects, deliver to clientele, and acknowledge our latest accomplishments according to the timeline set.  Accordingly, the only way to accomplish timely delivery is to immediately take care of the agonizing issues to get them out of the way and move on.

Otherwise, the situation worsens by berating ourselves privately, possibly blaming others, and enduring sleepless nights.  Should any one of these events occur, time will fade away into oblivion and prevent the possibility of moving forward. The downside is the potential of losing one’s job or clientele with a need to secure a new job, all of which adds to the agony.  

‘Just do it’ – the Nike slogan applies well. 

Fix Issues Using These Communication Strategies
and
Qualities that underly any strategy for resolving issues are to include:

Integrity:  Admit to an error and convey your willingness to fix the matter.  Even if the other party is a contributing partner to the error, leave explanations and excuses behind.  

Listening to comprehend varying viewpoints: Interpretation often affects the communications; it’s best to come to an understanding upfront for the possible missing pieces of the puzzle.

Asking questions:  Instead of monopolizing the conversation: Learning speeds up when we choose to listen vs. speak, and ask for ideas on how others see the solution.

Motivation to learn:  Despite the dilemma at hand, be willing to learn from all incidents as it helps personal growth as well as career advancement.   

Focus on an agreeable solution(s):  Offering to fix an issue together gives practice for future friendly negotiations and further encourages a returning and referring clientele.

Goal-driven:  Always keep the result in mind for your career and client satisfaction.

One way to put future misunderstandings on a decline is by asking questions up front.  Many people feel embarrassed upon needing to ask, but the more significant embarrassment can be in a new mishap.  The sales profession teaches us to listen for what others share and what they leave out and clarify anything not understood. We can get to the heart of the matter by following the advice, digging deep, and applying what we know to further assist the company.

Recently, someone apologized for asking many questions upon joining a meeting for the first time.  In the recap, and always connecting dots to build relationships, I let the person know that asking questions is how I sell.  We all shared a laugh, and there is no doubt we will be off to a good start working together.

 Should issues drain you and your time, consider whether these communication strategies will assist future learning curves. Recent stories reveal that few want to take responsibility, and accordingly, the workplace environment is close to being toxic. When employees or management do not work together, the turnover can be high and negatively affect the bottom line. Similarly, entrepreneurs have a strong need to work with their clients as if you are on a star sports team attempting to get to a goal together.

Consider asking the following questions the next time an error arises:

  • Can we resolve the issue together?
  • Which elements do not appear to be working correctly?
  • How do you see the fix, and in what order are the steps we are to take?
  • What is your timeline for resolving the problem?
  • May we check in with one another as we move through the process to ensure a proper fix?

The questions above convey that you are serious about resolving anything that isn’t quite right. But more important will be the observance of your integrity. Being believable and trustworthy are the hallmarks, once again, for encouraging a returning and referring clientele.

On the darker side of an issue, you will encounter some who refuse to take responsibility in any way, shape, or form. Should you need to deal with one in a similar circumstance, it is time to reconsider whether you want the person as a client, a manager, or a teammate. Sadly, sometimes issues can put a wrench in a career and can be the point of literally no return. Like everyday conversations, it is essential to weigh the pros and cons before taking action. However, it is in your best interest to always have a backup plan if the worst comes to be.

The better outcome is for a give-and-take dialogue on how to move forward together. Showing appreciation for the insights of one another further builds the bond between you and encourages the necessary teamwork for moving forward. Enthusiasm for the work is an extra ingredient for promoting a partnership in the fix.  Mindset does matter, and the passion for getting things right becomes a motivating force for all. 

Once everything is in good working order, review the steps you and others took to resolve the issue.  Create a plan for avoiding the same in the future, and strive to re-energize the effort for moving forward.

  1. Upon realizing an error, inquire how the other party or people see the fix.
  2. Use a friendly tone for the inquiries.
  3. Ask whether new ideas may enhance the fix.
  4. Encourage a deeper conversation to uncover all underlying issues.
  5. Ask for the order of steps to take.
  6. Request a timeline for resolving the matter.
  7. As progress continues for fixing the initial issue, share new insights as they may occur.
  8. Should you realize an older strategy is no longer working, ask to eliminate it.
  9. Use these communication strategies and ensure all systems reinforce one another for a more robust output.
  10. Celebrate Success!
